We are committed to protecting personal data in accordance with the Personal Data Protection Act 2010 (PDPA) of Malaysia.

Account Information: name, email, phone number
Profile Details: career history, skills, education, preferred job type
AI Interview & Test Data: microphone audio processed during spoken conversations, transcripts, test responses, scores, evaluations, and metadata. If you choose the optional pronunciation check, limited samples of your answer audio are also processed for that check.
Usage Data: IP address, device information, browser data, actions on the platform
Payment Information: processed securely by third-party payment providers (we do not store credit card numbers)
Communication Records: chat logs, inquiries, customer support messages

To operate and improve the Katana platform
To match talent with companies using AI-driven recommendations
To conduct spoken interviews and language tests, create transcripts, assess answers, and provide feedback. With your agreement, we also assess pronunciation using samples of your answer audio.
To provide user support and respond to inquiries
To process payments and manage subscriptions
To prevent fraud, abuse, and security incidents
To comply with legal obligations and regulatory requirements

Hiring companies: Only when users explicitly apply or agree to be matched.
Payment gateways: For processing transactions securely.
External AI and speech services: We use these services for spoken conversations, transcription, AI interviews, scoring, optional pronunciation checks, and matching recommendations.
- What data is sent: Microphone audio for spoken conversations and transcription; interview transcripts, test responses, and profile details necessary for evaluation. If you choose the pronunciation check, limited samples of your answers are also sent for speech assessment.
- Who the data is sent to: Providers of AI processing, speech processing, transcription, and speech assessment services.
- Data Protection: We confirm that any third-party AI service we share data with provides the same or equal protection of your personal data as stated in this policy. We ensure they do not use your personal data for their own independent purposes outside of providing the service to us.
Technical partners: For hosting and cloud services.
Government or legal authorities: When required by law.

Before the speaking test starts, you can agree to add pronunciation feedback or continue without this additional check. Microphone audio is still processed for the spoken conversation and transcription with either choice.
The additional check uses limited samples from your answers to assess pronunciation clarity and delivery. KATANA does not store the audio collected specifically for this check; it stores assessment results and uses them to prepare feedback.
The feedback is for practice. It is not an accent pass/fail test, and an assessment may be unavailable for an unsupported language or an insufficient audio sample.

Personal data is retained as long as the user account remains active.
Users may request deletion of their account and associated data unless retention is required by law.

We apply encryption, access restrictions, and monitoring systems to protect user data.
No method of transmission or storage is fully secure; however, we implement industry-standard protections.
